In most Saudi companies the real sales conversation happens on WhatsApp. The customer sends a voice note, the salesperson answers with a price, and the deal is agreed inside a chat thread that nobody else in the business can see. That works until the salesperson travels, changes phone or leaves. Then the history of the account leaves with them. This guide shows how to keep the chat where your customers like it, while the record of what was agreed lives in your CRM.

Why WhatsApp became the first place customers talk to you

Buyers in the Kingdom reply to a message in minutes and to an email in days. A contractor in Riyadh will send a photo of a damaged unit at 9pm and expect a price the same evening. Procurement officers forward a chat thread to their manager instead of writing a summary. So the channel is not going away, and asking customers to use a web form instead is a good way to lose them.

The problem is not the channel. The problem is that a phone is a private place. Everything that makes WhatsApp fast, voice notes, photos, quick confirmations, also makes it a poor system of record. Nothing is searchable by the finance team, nothing is reportable, and nothing survives a change of staff. A CRM solves exactly that, and the two tools are not in competition. One is where the customer talks, the other is where the business remembers.

The chat stays on the phone, the decision belongs in the system.

What breaks when the chat is the only record

Most owners discover the gap during an ordinary week, not during a crisis. The patterns repeat across industries.

  • The price nobody can find. A customer says a discount was agreed last month. The salesperson who agreed it is on annual leave and the thread is on their personal phone.
  • Two people chasing one buyer. The customer messages the company number and a salesperson's number on the same day and gets two different prices.
  • Follow-ups that never happen. A buyer asks you to call back after the end of the month. The reminder lives in somebody's memory, and the month ends.
  • No pipeline view. The manager cannot say how many live deals exist or what they are worth, because the answer is spread across six phones.
  • A handover with no history. After delivery the customer complains, and the support agent starts the conversation from zero.
  • Data that walks out of the door. When somebody resigns, the contact list, the prices and the context go with the device.

What "one record" actually means

Keeping every chat in one record does not mean copying the whole conversation into a system. Nobody will do that, and most of a chat is noise. It means that the decisions inside the chat become structured fields that other people can read. Use this mapping as the rule for your team.

Moment in the chatWhat gets savedWhere it goes
A message from a new numberName, company, city, how they found youNew contact or lead
"How much for 20 units?"What they want, quantity, expected valueNew deal, first stage
You send a priceThe quotation and its validity dateQuotation on the deal
"Let me check with my manager"A dated follow-up with an ownerActivity on the deal
"Invoice this company name"Legal name, VAT number, addressCustomer details
A complaint after deliveryWhat went wrong and what was promisedHelp desk ticket

Six short entries per deal are enough. A new person can read that record and continue the conversation without asking the customer to repeat anything.

A workflow your team can follow from tomorrow

This costs nothing to try and does not need an integration. Agree it once, write it on one page, and hold the team to it in the weekly meeting.

  1. Create the record before you answer. A new number becomes a contact and a deal in the CRM first, then you reply. It takes about twenty seconds.
  2. Log the outcome, not the chat. After the conversation, write one line: what they asked for, what you quoted, what happens next.
  3. Send prices from the system. Build the quotation in the CRM and share that document in the chat, so the number in the thread and the number in the record match.
  4. Every chat ends with a date. If there is no next step, the deal is lost or won. Say which.
  5. Move the stage the same day. A pipeline that is updated weekly is a report. A pipeline updated daily is a tool.
  6. Hand over in writing. Before leave or a day off, the deals with their notes are already in the system, so cover is a matter of opening the record.

One business number beats five personal phones

Put your customer conversations on a company number that the business owns and controls, published on your website and your invoices. Personal numbers should be for colleagues, not customers. This single change removes most of the duplicate-pricing problems and makes a resignation an administrative event rather than a loss of data.

Set the basics properly. A business profile with your commercial name, working hours and address. Saved replies for the five questions you answer every day. A rule that a customer who asks for a formal price gets a document, not a number in a bubble. If more than one person answers the same number, agree who owns each new enquiry within the first hour, and record that owner in the CRM so nobody double-handles it.

The Communications, Space and Technology Commission is the regulator for communications services in the Kingdom and publishes its regulations and complaint channels on its official website. If you plan to send promotional messages rather than reply to enquiries, read the current rules before you start, and keep proof that the customer asked to hear from you.

From the chat to the quotation to a compliant invoice

The commercial reason to pull chats into a record is that a chat cannot be a tax document. Once the customer says yes, the agreement has to become a quotation and then an invoice that meets Saudi e-invoicing requirements, with the right legal name, VAT number and totals. If the only trace of the agreement is a voice note, somebody retypes it, and retyping is where VAT numbers and discounts get lost.

A connected system removes that step. In Daftarix, a won deal turns into a quotation with the customer details already filled in, and that quotation becomes an invoice without re-entering anything. The same customer history is available to the help desk after the sale, so the agent handling a complaint can see what was sold and what was promised. You can see the sales side on the CRM system for Saudi businesses page.

For the invoicing rules themselves, work from the authority. ZATCA publishes the phases, requirements and guidance for e-invoicing on its e-invoicing portal, including the Phase 1 start date of 4 December 2021 and the Phase 2 start date of 1 January 2023.

Keep the customer data tidy and lawful

A chat thread is full of personal data: names, numbers, national identity documents sent as photos, bank details, sometimes a customer's home address. Moving the useful part into a CRM makes that easier to govern, not harder, because a system has owners, permissions and retention rules while a phone gallery has none.

Three habits are worth setting from day one. Save the field you need and not the screenshot, so the structured record carries the VAT number rather than a photo of a document. Give access by role, so a salesperson sees their accounts and a manager sees the pipeline. Decide how long you keep a lost enquiry, and delete on that schedule. If you want the detail behind these points, our guide on how to choose the best CRM in Saudi Arabia covers the questions to ask any vendor about data, language and ownership.

A thirty day rollout

Do not try to change everything at once. A month is enough for a team of five.

Week 1. Publish one business number. Import your contacts. Define four or five pipeline stages in the words your team already uses.

Week 2. Every new enquiry gets a record before a reply. Nothing else changes yet. Measure one number: how many deals exist in the system at the end of the week.

Week 3. All prices go out as quotations from the system. Set follow-up dates on every open deal.

Week 4. Review the pipeline as a team, close the dead deals honestly, and write the one-page rule your team will follow permanently.

Frequently asked questions

Do we have to stop using WhatsApp?

No. Keep talking to customers where they answer. The change is that the decisions from the chat are written into a shared record the same day, so the business keeps the history.

Is manual logging realistic for a busy sales team?

Yes, if you log outcomes instead of transcripts. One line per conversation and a dated next step takes under a minute, and it replaces the time now spent asking colleagues what was agreed.

What about voice notes and photos?

Write the decision in the record and keep the attachment only when it matters, such as a signed approval or a site photo tied to a complaint. Do not store identity documents you do not need.

Can two salespeople share one number safely?

They can, provided each new enquiry gets an owner in the CRM within the first hour and both people check the record before quoting. The system, not the chat list, decides who is responsible.

Does the record help after the sale?

That is often where it pays. When the customer history is in the same place as the support queue, an agent can open a complaint with the full context of what was sold, which shortens the first reply.

Start with one record

Pick your busiest salesperson and run the workflow on their deals for two weeks. If the manager can answer "what is in the pipeline and what is it worth" without sending a single message, the case is made. To see it with your own data and in Arabic or English, book a demo or get a quote from the Daftarix team.
